Privacy Policy

Clubr (“we”, “us”) is a platform that helps cycling clubs organise rides, members and events. This policy explains what personal data the Clubr app and website collect, why, and the choices you have. Clubr is operated by Vulpo.

Data we collect

• Account details — your name and email address, used to sign you in and identify you within your club.
• Profile information — anything you choose to add, such as a photo, short bio, cycling preferences and phone number.
• Emergency contacts — names and phone numbers you optionally add so ride leaders can reach someone if needed.
• Club & ride activity — your club memberships, event RSVPs and related participation.
• Connected services — if you connect Strava, we import your ride activity (distance, time, route) to show your stats. You can disconnect at any time.
• Technical data — basic logs needed to operate and secure the service.

How we use your data

• To provide the core features: club membership, ride and event scheduling, and member directories.
• To send service emails such as invitations and password resets.
• To keep the service secure and working correctly.

We do not sell your personal data, and we do not use it for third-party advertising.

Who can see your data

Your profile and ride participation are visible to members and administrators of the clubs you belong to. They are not shown publicly outside your clubs.

Service providers

We use a small number of trusted providers to run Clubr. They process data only on our behalf:

• Google Cloud — hosting and file storage.
• Mailgun — sending transactional email.
• Paddle — subscription billing for clubs.
• Strava — only if you choose to connect it, to import your activities.
• Open-Meteo — weather forecasts for events (no personal data shared).

Data retention & deletion

We keep your data for as long as your account is active. You can request deletion of your account and personal data at any time — from within the app’s settings or by emailing us at the address below. We will delete it unless we are legally required to keep certain records.

Security

Data is transmitted over encrypted connections and stored with reputable providers. No method of storage or transmission is completely secure, but we take reasonable measures to protect your information.

Children

Clubr is intended for use by cycling clubs and is not directed at children under 13. Where a minor participates through a club, an adult (parent, guardian or club official) is responsible for their account details.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the “last updated” date above.
